7 Reservation Workflows for Voice Agents

A reservation is a commitment in a business system. A voice conversation can collect the request and help complete it, but the final status must reflect what the booking process actually accepted. These workflows cover the information and decisions needed along the way.

1. Capture a complete enquiry

Ask for the date, time, party size and relevant preferences. Clarify ambiguous dates rather than interpreting them silently. Record the venue or location when the business has several. The result should be specific enough for staff to check availability without calling back for the basic details.

2. Check availability

Connect the current reservation source and query the requested combination. Offer alternatives based on returned availability rather than general opening hours. If the system cannot answer, preserve the original preference. The customer should know that a check is pending rather than believe an unverified slot is available.

3. Explain the applicable terms

Use approved information for arrival windows, deposits or cancellation arrangements relevant to the reservation. Keep the explanation short and let the caller ask questions. Do not invent an exception. A request for special treatment belongs in the record for the authorized team to consider.

4. Confirm an accepted reservation

Read back the accepted date, time, party size and location after the booking system returns success. Include the reference when provided. Check corrections before ending the call. The internal record should link to the actual reservation so staff and the customer are discussing the same commitment.

5. Request a change

Identify the existing reservation through the approved process and gather the requested change. Test what happens when the new time is unavailable. Preserve the current reservation unless the authorized workflow changes it. State clearly whether the request succeeded, failed or requires staff review.

6. Handle a cancellation

Confirm the reservation being cancelled and carry out the permitted action. Make the final wording reflect the system’s response. If a deposit or other financial question arises, route it to the approved process. Do not infer a refund from the fact that a reservation was cancelled.

7. Record a group or special request

Large groups, accessibility needs or event enquiries may need staff review. Gather only the relevant arrangements and preferred contact details. Keep the request visible without implying acceptance. The receiving team should see both the customer’s need and any availability information already checked.

Choose one reservation type and make its outcomes explicit: requested, confirmed, changed, cancelled or awaiting review. Evaluate the voice experience and the booking record together before handling more complex cases.
