Appointments

A voice agent for appointment requests your team can confirm.

“Tomorrow after six” is a useful beginning to an appointment request. Your reception team still needs the service, location and a way to reach the caller. Use Swarit to design that first conversation around the details your team needs to respond. Use a guided workflow to collect the right details and business knowledge to answer the next question.

Collect the request while the caller is ready

Clinics, diagnostic centres, salons and service centres each receive practical questions before an appointment is agreed. Which service is available? What are the opening hours? Can the team check a preferred time? A voice agent can gather those questions alongside the request.

Keep the initial journey narrow. A Bengaluru clinic might begin with general physician appointment requests in Kannada, Hindi and English. A salon might focus on service choice and preferred branch. The agent’s job should be easy for the caller and the receiving team to understand.

Define the fields reception actually uses

Capture the caller’s name, requested service, preferred date and time, branch if relevant, and callback preference. Ask for clarification when a time is ambiguous. Preserve a preference such as “after work” alongside any more precise answer the caller gives.

Use a step-based workflow when those fields are required for handoff. Let callers give several details together, then ask only for what remains. A declined answer or uncertain date should stay visible to reception rather than disappear into a fluent summary.

Answer practical questions from current information

Give the agent approved service descriptions, business hours, locations and preparation instructions that your team is permitted to provide. Assign an owner to keep them current. If a service or policy is not covered, retain the question for staff follow-up.

For a healthcare business, keep this workflow administrative: service information and appointment requests. Clinical questions and urgent concerns need your clinic’s approved routing process. Avoid collecting medical detail that the appointment team does not need.

Make the confirmation boundary clear

A caller’s preferred slot is a request. Confirming availability requires the team or a supported scheduling integration to check and reserve the actual slot. Do not teach the agent to announce a booking simply because all request fields have been collected.

The handoff should distinguish requested time, missing details and confirmation status. That lets reception decide what to do next without guessing whether the caller believes the appointment is already confirmed.

Pilot one service and one receiving team

Prepare a short set of enquiries: a clear request, an unavailable preference, a changed time, a caller who wants a person and a question the knowledge does not answer. Review whether staff can act on each record without reconstructing the whole conversation.

Try the Kannada browser playground with instructions to collect a service and time preference. For a configured business workflow, share your services, required fields and confirmation process with Swarit. Start with one appointment category before extending to additional branches.

Questions before you start

Can this work for salons and service centres too?

Yes, the appointment-request pattern can be configured around the service, branch, preferred time and contact details your team needs.

Will the agent confirm a slot automatically?

A request is confirmed only after an authorized team or supported scheduling integration reserves it. Design the workflow around your actual confirmation process.
