Feedback

Collect feedback your team can follow through on.

A score can tell your team that something needs attention. The reason behind it explains where to look. Swarit helps customer experience and survey teams design voice conversations that keep the rating, explanation and follow-up request together. Use a guided workflow to collect the right details and business knowledge to answer the next question.

Collect feedback your team can follow through on.

Choose a feedback programme with an owner

Start with a defined experience: a completed service, a support interaction or an event. Identify the team that will read the answers and what it can do with them. Feedback collection needs a route into actual review.

This workflow is for businesses running an explicit customer experience or survey programme. It should not become a generic call campaign for every contact. Use your organization’s approved contact process and make the purpose of the conversation clear.

Ask for the reason in the customer’s words

Your workflow might collect a rating, the reason, what worked, what needs improvement and whether the customer wants follow-up. Give the customer room to explain the experience instead of repeatedly asking for a number.

If a rating scale is used, explain it consistently. Preserve the explanation even when it does not fit a predefined category. A customer who says the team was helpful but the wait was long has described two different aspects of the experience.

Make language access useful for detail

A Malayalam-speaking customer may be more comfortable explaining a service issue in Malayalam than selecting from a short English form. Let the conversation capture that detail, then review whether the record reflects what the person actually said.

Avoid rewriting a criticism into a positive summary or inventing a sentiment label as if it were the customer’s own statement. Keep the rating, direct explanation and any later team categorization distinct.

Turn a request for help into a handoff

Feedback may surface an unresolved support problem. Capture the issue and the customer’s preferred follow-up, then route it according to your support process. Collecting the feedback does not mean the problem has been resolved.

If the customer does not want follow-up, retain that preference. Do not promise a callback time, compensation or resolution that your team has not accepted. A useful record makes clear what the customer requested and what remains pending.

Pilot for faithful capture

Review a positive response, a mixed response, an unhappy customer, someone who declines to answer and someone who asks for help. Check whether the team can distinguish the score, reason and follow-up preference without rereading the entire conversation.

Try the Malayalam playground with a short service-feedback instruction. To configure your programme, bring Swarit the questions, rating scale and receiving team’s process. Start with one experience and judge the workflow by the usefulness and accuracy of the records it produces.

Questions before you start

Does Swarit promise higher satisfaction scores?

No outcome uplift is assumed. This workflow helps collect feedback and follow-up needs; your team measures its own programme results.

What if a survey becomes a support request?

Capture the unresolved issue and follow-up preference, then route it through the support process your business has defined.
