Renewals
Understand the renewal before asking for a decision.
A renewal conversation may reveal a billing question, a changed requirement or a customer who needs help getting value from a service. Use Swarit to structure that conversation so your team understands what needs to happen next. Use a guided workflow to collect the right details and business knowledge to answer the next question.

Focus on an existing customer’s situation
Renewals belong to recurring services, subscriptions and memberships. The customer already has a relationship with your business. Start with the service in question and what the customer wants to understand before deciding.
Choose one renewal category and define the questions your team can act on. Is the customer considering renewal? Do they need a plan explanation? Is an unresolved issue preventing a decision? Preserve the reason rather than reducing the conversation to yes or no.
Give the agent approved renewal information
Supply the service description, published plan information and the renewal process your team is ready to explain. Customer-specific expiry, balances and contract terms require verified records and appropriate access.
Keep account verification separate from the caller’s knowledge of a membership name or number. If the relevant record is unavailable, capture the question for your team. Do not infer the customer’s price or renewal date from a general plan description.
Collect intent without creating an agreement
A guided workflow can collect the service, stated renewal intent, reason, questions and preferred follow-up. A customer saying “I’m interested” is different from accepting a particular price and term.
Preserve uncertainty and changed requirements. A member who wants a different schedule or a subscriber who needs another feature has supplied a concrete follow-up need. The team should see that need alongside the stated intent.
Keep concessions and payment under control
Discounts, contract changes, charges and payment collection require a supported authorization process. Do not let the agent improvise concessions or present a renewal as completed because the conversation ended positively.
A useful initial workflow hands your retention team the customer’s intent, the barrier to renewal and the next requested action. For outreach, use your business’s approved contact and permission process and respect requests to stop further contact.
Pilot on a defined service
Review examples where a customer wants to renew, asks about a price, has an unresolved support issue or does not want another call. Check that intent and requested follow-up are recorded without turning interest into consent to a purchase.

Questions before you start
Can the agent offer a discount?
Only terms explicitly approved and supported by your business process should be communicated. The initial workflow can capture a request for the retention team.
Does stated interest authorize payment?
No. Payment and agreement require your separate authorized process. Keep renewal intent and completed renewal as distinct states.
