Reservations
Capture the details that make a reservation possible.
A reservation begins with details: dates, number of guests, location and the experience the caller wants. Swarit helps you collect those requirements in a conversation that your reservations team can continue with the right context. Use a guided workflow to collect the right details and business knowledge to answer the next question.

Design for the kind of reservation you sell
A hotel needs arrival and departure dates, guest count and room preferences. A restaurant needs date, time and party size. A travel or event business may need destination, group requirements and the caller’s flexibility.
Choose one reservation journey for the first agent. Keep it separate from service appointments: an overnight stay, a dinner table and a clinic visit have different availability rules and confirmation processes. The fields should reflect the actual booking decision.
Make dates and group requirements explicit
Collect the requested dates, party size, relevant preferences and contact method. Ask for clarification when “next Friday” or “this weekend” could be misunderstood. Preserve an alternative date if the caller offers one.
Use a guided workflow to track the required information while leaving room for practical questions. If a guest asks about access, food preferences or arrival arrangements, capture the specific request and answer only from approved business information.
Answer from your property or venue information
Supply location details, published facilities, check-in or arrival procedures and reservation policies your team is ready to communicate. Keep seasonal or event-specific information current.
Rates, available rooms, tables and ticket inventory depend on current systems. If the agent cannot access authoritative availability, it should pass the requested dates to the reservations team. A positive conversation does not reserve inventory.
Keep request and confirmation visibly separate
The handoff should include the requested dates, number of guests, preferences, unanswered questions and status. A booking becomes confirmed only through your authorized reservation process.
Do not imply that a deposit was taken, a table held or a room allocated unless the relevant system confirms it. Give the team the context needed to check availability and respond with an actual offer.
Pilot one venue or reservation category
Prepare examples with flexible dates, a larger party, a special request and a policy question. Ask the reservations team whether each record contains enough information to prepare a response and whether the caller heard the correct confirmation boundary.
Try the Tamil playground with a simple restaurant or hotel enquiry instruction. For a business workflow, share your reservation fields, approved information and confirmation process with Swarit. Start with one venue or booking category, then expand after staff review the first set of enquiries.
Questions before you start
Can this handle restaurant and hotel enquiries?
Yes. Configure separate fields and knowledge for each reservation type so the team receives the information it needs.
Does collecting the dates reserve availability?
No. Inventory is reserved only after an authorized team or supported booking system confirms the reservation.
